A new option to Approve & Print in one go from sales invoices

When producing Sales invoices (it is at the bottom) next to the big green Approve button there is a down arrow. Click on this and you will find four options one being ‘Approve & Print’

Recognition of Payee and Description columns in CSV bank statement files

This is more apparent when you are importing bank csv files; it now gives us the option to import the ‘Payee’ with a separate column for ‘Description’.

This is my favourite and if you have been doing it the long way round then you will notice this as being a breath of fresh air!

Changes to the bank reconciliation screens – Xero have simplified the actions you can perform on the Account Transactions screen by removing all but one button! The remaining button, Remove and Redo, is likely to be the most common action you’ll perform against reconciled transactions. It simply deletes your account transaction and unmatches the bank statement line, ready for you to reconcile again from the Bank Reconciliation Screen.

So there are now two options : Remove & Redo and Unreconcile.
Remove & Redo = account transaction deleted + bank statement line unmatched
Unreconcile = account transaction unmatched + bank statement line unmatched

Ie. in most cases, and if in doubt, use Remove & Redo. It deletes the account transaction from the Account Transaction tab. Account transactions are:
Bank transactions (spend money, receive money, overpayments, prepayments and transfers) – under the ‘Options button’

Payments recorded on a sales invoice, bill or expense claim, or payments created by Xero when you reconciled. These are marked with ‘Payment…..’ in front of the payee name – again under the ‘Options button’

Adjustments added during reconciliation (when the transaction in Xero didn’t quite match the imported bank statement line).

It unmatches the bank statement line (as a result of the account transaction being deleted)

It changes the Balance in Xero.

So all in all a very useful change and a good one to know

Xero have said that ‘Purchase Orders’ are coming soon! I can’t wait for this one as I have a client that this feature would be a brilliant option to use than their current one.

Does it really annoy you, when you are working with spreadsheets, that you need to keep scrolling up and down to see the Column and/or Row headings?
These simple steps will ensure that they are visible no matter how far down or across you scroll.

Microsoft Excel 2007 – dependent on what information you need to see when scrolling, below are three alternatives

To freeze the top row only ensure that you are in column A row 2 cell – click on the ‘Review tab’ – and ‘Window section’. Click on ‘Freeze Pains’ (which brings up a drop down box) and click on ‘Freeze top row’. So now when you scroll down you will always be able to see the headings on the first row.

To freeze the top row and first column ensure that you are in Column B row 2 cell – again click on the ‘Review Tab’ – and ‘Window section’. Click on ‘Freeze Pains’ (which brings up a drop down box) and click on ‘Freeze Pains’. So now when you scroll down and across you will always be able to see the headings in the first row and information in the first column.

To freeze the first column only ensure that you are in Column B row 1 cell – again click on the ‘Review Tab’ – and ‘Window section’. Click on ‘Freeze Pains’ (which brings up a drop down box) and click on ‘Freeze First Column’. So now when you scroll down and across you will always be able to see the formation in the first column

In a Excel Workbook you may occasionally want to move or copy a spreadsheet….
Select the tab of the spreadsheet you want to copy – Select ‘Cells Block’ on the Home tab – Format – Move or Copy Sheet. Scroll up or down to choose where you want it to go; please note the criteria is ‘Before Sheet:’ then make sure you click ‘Create a Copy’.

If you want to move a spreadsheet you can do it in one of two ways. As above but don’t tick ‘Create a Copy’ or click on the tab of the worksheet you want to move and drag it to where you want it. NOTE: there is a little black arrow which helps to move it to where you want it to go.

Maybe you have a really good spreadsheet and you want to copy that spreadsheet in the same workbook. So for example you use the same spreadsheet month after month to record (something like flexi time). Name the first tab e.g. January 2012. Copy this spreadsheet as shown above – then click on the tab and rename e.g. February 2012. Do as many time as necessary.
The next thing to do is to enter the dates in the January 2012 tab. Click on Cell A1 and type in 01/01/2012 – Enter – in Cell A2 type =A1+1 – Enter. Click on Cell A2 again and drag down until you get to 31/01/2012. You now have a row of dates from 1 to 31. NOTE you need to add the +1 to the end of the formula other wise the dates wont increase by one.
Any problems email me on elaine@timewiseva.co.uk and attach your spreadsheet

What a fantastic start to the year for the Broadway and Failsworth Lifesaving Club (Club). I am their Voluntary Treasurer, Secretary and Internal Verifier.

The Club is affiliated to the Royal Lifesaving Society (RLSS) and as we train members for The National Lifesaving Qualification (NPLQ) I, as Internal Verifier, have to make sure that our members get the best training available. If there are any problems of any sort we can resolve these by my working with both the Trainers and the Members.

I have just posted the dates for Open Water 2011 on our website, www.broadwayandfailsworthlifesavingclub.co.uk. In the download Open Water 2011 Application Forms, and the dates are also in the diary on the site. So we will be gearing up for the first one in May. But before that all the paperwork has to be completed. This consists of the Application Forms, Risk Assessment etc and meetings to make sure that we have plenty of teachers to cover, especially with the younger members of the club.

As we have trainers qualified to teach the National Beach Lifeguard Qualification (NBLQ) we work with two other local clubs, to ensure that we are spreading the availability of this qualification, to anyone who wants to attend and attain the NBLQ. We had, about 3-4 years ago a young guy who wanted the get the qualification before going to Australia. He did get it and he went to Australia, we haven’t seen him since, so take it that he stayed!

More on this subject as the summer season progresses.

A number of years ago two of our members were out having a walk along the Rochdale canal with their Mum and Dad. The two girls were on their pedal bikes and the parents were enjoying the beautiful warm weather. Because the girls were on their bikes they rode quite a way from their parents without realising it.

Everything was fine until quite by accident the youngest, (age 8), rode into the canal on her bike. No one knows exactly what happened, the sister raised the alarm but the parents were quite some way away. Dad ran to where she had gone in only to see her climbing out herself, she was crying. When they could make sense of why she was crying, they found out that it was because her bike was still in the canal and not because she had nearly drowned nor that she was wet through.

Their dad came into the club that Monday evening and said that the money he pays for subs is well worth it as if the two girls hadn’t been members at the Broadway and Failsworth Lifesaving Club the outcome could have been seriously different and he vowed to bring the girls every week.

Those two girls come every week and are progressing through the club, as soon as they are 16 they will start their NPLQ (National Pool Lifeguard Qualification) and, if they want to, the NBLQ (National Beach Lifeguard Qualification).

May is the month in the year that the Broadway and Failsworth Lifesaving Club start its Open Water Program for the year.

Open Water – what is meant by this? Quite simply there are two types of open water, coastal and inland.

We use the facilities of an Outdoor Pursuits Center for the Inland and for Coastal we use Fleetwood, near to the swimming pool on the sea front and we pay to use the facilities to shower and change a both venues.

We use the Reservoir and the Sea to train our members to save lives in open water situations. We also train them to ‘not go there’ if the situation is dangerous. An example of this would be if someone jumped into the reservoir in the hottest of summers the chill factor of the reservoir as it goes deeper has seen many people drown.

Very basically we use scenarios and exercises to train our members in the various ways of saving a life or preventing an accident from happening.

There is a story from a couple of years ago about a family and their dog (by the way, not one of our members) walking along the promenade at Blackpool, the sea was in and it was quite rough. The dog was swept away as it was too near the edge and the owner jumped into the sea to rescue the dog. The dog managed to get out by itself but the owner was swept away and turned up down the coast a couple of days later. This is the reality of open water and the undercurrents that cannot be seen. From Blackpool to Fleetwood to the river, that brings in the Ferry from Ireland, is a very strong rip tide that can’t be seen by the untrained eye. We train our members to spot and feel all the dangers of Open Water.

If you live locally (Chadderton, Oldham) and you have young children surgically remove their games console and bring them down one Monday or Wednesday evening to see what it is all about.

So now when you scroll down and across you will always be able to see the formation in the first column.

Any problems email me on elaine@virtualva.co.uk and attach your spreadsheet
